Pre-project checklist & logistics

Getting your vehicle ready

A little preparation goes a long way. Please review the following — only the situations that apply to your project will be relevant.

01

Drop-off details

Drop-off by 9:00 AM (MT) on your scheduled date. Early drop-offs are welcome but must be coordinated in advance.

Address
Overland Design-Build
6945 Indiana Ct., Suite 800
Arvada, CO 80007
Hours
Monday – Friday
9:00 AM – 5:00 PM (MT)

Optional — shop tour & project discussion

If you're dropping off in person, you're welcome to stick around for a brief look at the shop and a walkthrough of your project.

  • A behind-the-scenes look at the shop
  • A high-level overview of your project
  • A review of planned features and functionality

Plan to allow an additional 30–60 minutes at drop-off. Availability is based on shop schedule, but we're always happy to walk through the work when possible.

02

Vehicle preparation

  • Empty fresh and grey water tanks
  • Empty and clean toilet cassette
  • Winterize if freezing temperatures are possible
  • House batteries, solar system, and refrigerator set to ON
  • Inverter set to OFF
  • Lock all doors, windows, and cargo boxes
  • Provide all keys, including the toilet cassette door
Vehicles arriving with an uncleaned cassette will be subject to a $150 cleaning fee before work can begin.
Fuel level

If your project involves fuel tank removal or modification — including seat upgrades and fuel tank upgrades — the fuel level must be between 1/4 and 1/3 full at drop-off.

Vehicles arriving outside this range will be subject to a $150 fuel adjustment fee.
Heads up: your hydronic diesel heating system won’t run when the fuel tank is below 1/3 full. If you’ll need cabin or water heat before or after your visit, plan to keep the tank above that level.
03

Vehicle cleanliness

Vehicles should arrive in a reasonably clean condition, particularly in work areas. If your vehicle arrives with excessive mud, dirt, sand, snow, or debris, cleaning may be required before work can begin.

If significant cleaning is needed, we'll let you know before it affects your project cost.

04

Access & belongings

If we're working inside your vehicle

Think about the areas we'll need to access and make them easy to get to. Clear out anything in or around the work areas before drop-off. Items stored in factory-installed cabinets and compartments are fine to leave.

If you need to keep personal belongings in the vehicle

Consolidate everything into a small number of totes or containers. When items are organized and easy to move, we can work around them without issue.

We build 30 minutes at the start and end of each project to unload and reload personal belongings. As long as things are organized, this is already covered — no surprises.

If your vehicle has aftermarket storage installed inside

Drawer systems, cabinetry, and similar interior buildouts that are bolted in place or cumbersome to move should be removed before drop-off if possible. If removal isn't practical, please let us know in advance so we can plan accordingly.

If significant additional time is required to work around undisclosed systems, we'll reach out before it affects your project cost.

05

Disclosure of existing issues

Please disclose any known issues prior to drop-off. This helps us plan accordingly and avoid unexpected delays during your project.

  • Chassis or drivetrain concerns
  • Plumbing, HVAC, or electrical issues
  • Power system or charging concerns
  • Anything that may affect the work or project schedule
Disclose an existing issue
06

Final payment is due upon project completion and prior to vehicle pickup.

Common questions

How can we help?

Answers to common questions about scheduling, the project process, and pickup logistics. For full policy details, see our Terms of Service.

Scheduling & drop-off
Can I drop off my vehicle early?+
Yes — early drop-offs are welcome and can be accommodated up to two weeks before your scheduled start date, subject to available storage space. Please coordinate in advance. Your project will still begin on its scheduled date.
Can I delay my pickup after the project is complete?+
Yes — we can accommodate delayed pickups of up to two weeks after project completion. Final payment is due upon completion regardless of when you pick up, and your vehicle will not be released until payment has cleared.
What if I need to reschedule my drop-off date?+
Rescheduling requests made 14 or more days before your start date can typically be accommodated without penalty, subject to availability. Requests made within 14 days may incur a fee of 10% of the total project cost, capped at $2,500.
Is there parking available at drop-off?+
Yes — parking is available on-site at our facility. If you need assistance locating us, call or text us at (720) 605-6169.
During the project
How will I know when my vehicle is ready?+
We'll reach out directly when your vehicle is complete and ready for pickup. If your project has a confirmed completion date on your invoice, that date is our commitment to you.
How do you keep me updated during the project?+
We share a private Google Photos album with you at the start of your project and upload in-progress photos throughout the build, so you can follow along visually.
Can I visit the shop while my vehicle is being worked on?+
Shop visits during an active project are possible on a case-by-case basis and subject to shop schedule. Please reach out in advance to arrange a time.
What happens if something unexpected is discovered during the project?+
We'll stop and contact you before doing anything that affects your timeline or cost. You'll always have the opportunity to approve any changes before we move forward.
Is my vehicle stored securely overnight?+
Yes — your vehicle is secured at our facility throughout the duration of the project.
Payment
When is final payment due, and what are the accepted methods?+
A final invoice is issued upon project completion. Payment is due on or before pickup, and your vehicle will not be released until funds have cleared.
  • Balances greater than $5,000: wire transfer (preferred)
  • Balances $5,000 or less: wire transfer or ACH (eCheck)
  • Credit cards: accepted upon request, subject to a 2% surcharge
  • Personal checks: not accepted
At pickup
What does the pickup walkthrough cover?+
We'll walk you through the operation of all new systems and components, answer questions, and make sure you're confident before you leave. Plan to allow 30–90 minutes depending on scope.
What if I find an issue after I leave?+
We stand behind our work. ODB offers a 48-month warranty on installation workmanship for parts purchased and installed through us, and a 36-month warranty on ODB-manufactured parts. Reach out to [email protected]. For full details, see our warranty policy.
Can someone else pick up my vehicle on my behalf?+
Yes, with advance coordination. Third-party pickups must be arranged ahead of time so we can verify the arrangement and ensure a smooth handoff.
Logistics & transport
Where can I rent a car nearby?+
Two convenient rental options close to our facility:
How do I get from the airport to your shop?+
Denver International Airport (DEN) is about 32 miles from our shop — roughly 35–40 minutes in normal traffic. We recommend Uber or Lyft.
Can I ship my vehicle to and from the shop?+
Yes — we recommend Easy Auto Ship as a trusted transport option. We don't book transport on your behalf — you'll coordinate directly with the shipping company — but we'll coordinate on our end for a smooth drop-off.
